Once you're comfortable with the basics, these tips and shortcuts will help you get the most out of TiniVault.

Mod key

"Mod" means Ctrl on Windows and Linux, or Command (⌘) on Mac. So Mod+S = Ctrl+S on Windows, ⌘S on Mac.

Power User Tips

Use Templates for Consistency

If you have a "type" of item you create often — appliances, vehicles, insurance policies, books — create a template for it. A well-designed template ensures you always capture the same key information, making search and filtering much more useful.

Example "Appliance" template fields:

  • Purchase Date (Date)
  • Purchase Price (Monetary)
  • Warranty Expiry (Date)
  • Model Number (Text)
  • Serial Number (Text)
  • Energy Rating (Text)

Create Saved Views for Regular Checks

Don't search for the same things over and over. Create a saved view for any search you do frequently:

  • "Warranties expiring in the next 60 days"
  • "Items purchased this year"
  • "Appliances in the kitchen"
  • "Documents tagged #insurance"

Pin your most-used views to the sidebar for one-click access.

Organise Your Sidebar with View Groups

As your saved views grow, use view groups to keep the sidebar tidy. Group views by category:

  • 🏠 Home (appliances, furniture, rooms)
  • 📄 Documents (insurance, contracts, guarantees)
  • 🚗 Vehicles (cars, bikes)
  • 💰 Finance (receipts, invoices, expenses)

Resize the Sidebar

On desktop, drag the right edge of the sidebar to make it wider or narrower — handy when your view group names are long. Double-click the edge to snap it back to the default width. Your choice is remembered between visits.

Collapse the Sidebar

On desktop, use the Collapse button at the bottom of the sidebar to shrink it to an icons-only rail and reclaim horizontal space. Hover an icon to see its label; view groups stay foldable from the rail. Click the button again to expand it back to your chosen width. Whether it's collapsed is remembered between visits.

Use Item Reference fields to build a web of connected information:

  • Washing machine → linked to its warranty document
  • Car → linked to its service records
  • Insurance policy → linked to the items it covers

When you open an item, you can click through to see everything related to it.

Use AI for Quick Capture

The AI photo analysis feature is fastest when you're adding a brand-new item. Take a photo of the item, its label, and its receipt, then let the AI fill in the details. You just verify and save.

The AI chat assistant is great for quick queries: "What appliances have warranties expiring this year?" saves you from manually building filters.

Batch Create Similar Items

Importing a collection of similar items? Use batch creation:

  1. Start the new item form
  2. Fill in the first item
  3. Click "Add Another" to save and start the next one
  4. Your work is auto-saved as a draft — no data lost if you close the browser

Workflow Examples

"I just bought a new appliance"

  1. Click + → Select the "Appliance" template (or create one if you haven't yet)
  2. Name it (e.g., "Bosch Dishwasher SPS4HMI61E")
  3. Fill in Purchase Date, Purchase Price, Warranty Expiry, Model Number
  4. Take a photo of the appliance label → use Analyse Photos to fill in specs
  5. Upload the purchase receipt as a file
  6. Add tags: #appliance, #kitchen
  7. Save

Next, find the warranty document: 8. Create another item for the warranty (use an "Appliance Warranty" template if you have one) 9. Attach the warranty PDF 10. Add an Item Reference field linking back to the dishwasher 11. Set a trigger to email you when the warranty expiry date approaches

"I want to track when warranties expire"

  1. Create a saved view with filter: Tag includes #warranty AND Field "Expiry Date" is not empty
  2. Sort by "Expiry Date" ascending
  3. Save it as "Upcoming Warranty Expirations"
  4. Create a trigger: same filter + Field "Expiry Date" is within the next 30 days
  5. Set the trigger to run daily at 8:00 AM
  6. You'll get daily emails when a warranty is about to expire

"I want to organise my documents"

  1. Create tags for your document categories: #contract, #insurance, #medical, #tax, #correspondence
  2. Create an "Important Document" template with fields: Document Date (Date), Valid Until (Date), Issuing Organisation (Text), Document Number (Text)
  3. For each document: create an item, attach the PDF, fill in the fields, assign the appropriate tag
  4. Create saved views for each category (e.g., "Insurance Documents" = Tag includes #insurance)
  5. Group them all in a "Documents" view group in the sidebar

Troubleshooting

"I can't log in"

  • Check that Caps Lock is off
  • Make sure you're using the correct username (default: admin)
  • If you've forgotten your password, ask your TiniVault administrator to reset it
  • Try clearing your browser cookies for the TiniVault site

"My changes weren't saved"

  • Look for a message saying "You have unsaved changes"
  • Always use Save or Mod+S to save — simply closing the dialog discards changes
  • If you navigated away by mistake, the app will usually warn you before losing unsaved work

"The app looks different on my phone"

  • This is expected — TiniVault adapts its layout to fit your screen
  • The sidebar becomes a slide-out menu on small screens (tap the ☰ menu icon to open it)
  • If something looks off, try rotating your device or refreshing the page

"Search isn't showing all my items"

  • Check if any filters are active in the filter panel — active filters hide non-matching items
  • Click Clear Filters to reset all filters and see everything
  • Make sure you're on the main search page, not a saved view with its own filters
